4. REFUND & CANCELLATION POLICY

4.1 General Policy

Refund eligibility depends on:

  • The service purchased

  • Work already completed

  • Costs already incurred

  • Third-party payments already made

  • The reason for cancellation

  • Any specific written agreement provided for the service

4.2 Consultancy and Service Fees

Once consultancy, assessment, documentation preparation, application work, coordination, or another agreed service has started, fees attributable to work already performed may be non-refundable to the extent permitted by applicable law.

Where work has not started, a cancellation request will be reviewed according to the applicable service agreement and circumstances.

4.3 Government and Third-Party Fees

Fees paid to third parties may include:

  • Embassy fees

  • Visa application charges

  • Government fees

  • Visa centre fees

  • Medical charges

  • Insurance premiums

  • Hotel deposits

  • Airline charges

  • Tour operator charges

  • Courier charges

  • Translation charges

  • Employer or external processing charges where lawful and applicable

Refunds of these amounts are subject to the relevant third party’s own cancellation and refund rules.

Our Consultants cannot guarantee reimbursement of amounts already paid to third parties.

4.4 Visa Refusal

A visa refusal by itself does not automatically entitle a client to a refund of consultancy or service fees where the agreed consultancy or documentation service has already been provided.

This is because the visa decision is made independently by the relevant authority.

Any refund expressly included in a written service agreement will be handled according to that agreement.

4.5 Client Cancellation

A client wishing to cancel should submit the request in writing and provide:

  • Full name

  • Relevant invoice/receipt or application reference

  • Service purchased

  • Reason for cancellation

  • Supporting information, where relevant

The request will be reviewed according to the service status and applicable agreement.

4.6 Cancellation by Our Consultants

We may suspend or terminate services where, for example:

  • Fraudulent documents are submitted

  • Material information is deliberately concealed

  • A client requests unlawful activity

  • Required documentation is repeatedly not provided

  • Applicable legal or regulatory requirements prevent continuation

Any financial adjustment will be determined according to work completed, costs incurred, contractual terms, and applicable law.

4.7 Tour Cancellations

Tour-package cancellations may be subject to separate cancellation rules depending on airline tickets, hotel reservations, transport arrangements, visa services, and tour operator terms.

Cancellation charges may increase as the travel date approaches.

Non-refundable tickets, hotel bookings, or other confirmed reservations remain subject to the relevant supplier’s conditions.

4.8 Refund Method

Where a refund is approved, it will normally be processed using an appropriate available payment method after necessary verification.

Processing times may vary depending on banks, payment providers, and administrative requirements.

4.9 Policy Overrides

Where a signed service agreement, booking confirmation, or package-specific refund policy contains specific cancellation terms, those terms should be read together with this policy and will apply to that particular transaction to the extent permitted by applicable law.

Nothing in this Refund and Cancellation Policy is intended to remove any mandatory consumer rights available under applicable law.
